A short RFQ can produce a fast quotation and a slow problem.
“Please quote your best price for 500 portable camping kitchens” gives a supplier almost nothing to work with. One factory may quote a folding fabric cook station. Another may quote a wheeled storage box with side tables. A third may include a gas burner, while a fourth assumes the stove is supplied locally. Every price can be correct, yet none of them is comparable.
A portable camping kitchen is not one standard product. It can be a folding workstation, a chuck box, a modular IGT-style table, an all-in-one storage kitchen, a removable van pod or a vehicle-mounted slide-out system. For a standard private-label product, the RFQ and specification may be relatively close. For an OEM or ODM project, the first RFQ is a commercial and technical starting point; the final production specification is created through feasibility review, drawing approval and sampling.

M — Mandatory: The offer is not acceptable without this requirement.
P — Preferred: The requirement adds value, but the buyer will review a technically sound alternative.

This prevents two common problems.
First, buyers sometimes over-specify details they do not fully understand. A requirement for a particular tube thickness may block a lighter, stronger section that achieves the same load result. Words such as “strong,” “premium,” “compact” and “universal” are useful in marketing. They are weak in an RFQ.

The aim is not to fill the RFQ with laboratory language. It is to give both parties a shared method for deciding whether the product complies.
An RFQ should identify the physical format before listing features.
A folding frame with worktops, shelves, a stove platform, windscreen or fabric cupboards. It normally packs into a carry bag rather than a rigid box.
A rigid or semi-rigid transport box that opens into storage and work surfaces. It may sit on a table, use its own legs or integrate wheels and a pull handle.
A closed storage unit that deploys into a coordinated cooking, preparation, washing and dining system. Components may fold outward while the central box remains available for storage.
A table or kitchen with controlled openings for removable inserts such as a burner, induction cooker, grill, sink, tray or tabletop. “IGT-style” does not guarantee third-party compatibility; the opening, flange, depth, controls and clearances must be checked.
A portable cabinet or pod placed in a vehicle and removed when not required. The RFQ must distinguish portable cargo from a permanently installed vehicle component.
A kitchen mounted to a vehicle or trailer platform and extended on slides. The specification must address mounting, extension load, working support, travel locks, vibration and vehicle clearances.
Quotations should not be compared across these categories as if they were interchangeable.
Give the RFQ a number, revision and date. Name the buyer responsible for technical questions and state the response deadline.
Without revision control, one supplier may quote the original concept while another quotes the latest change.
Tell the supplier where and how the product will be sold. A European outdoor chain, a North American e-commerce brand and an Australian 4WD distributor may need different appliance configurations, packaging, documentation and service parts.

State what the product must do and what is not included.
For example:
A wheeled, portable camping kitchen for vehicle-supported family camping. The closed unit must transport cookware and accessories. The importer remains responsible for determining applicable requirements. The RFQ should make the documentation gap visible before the purchase order.

Packaging dimensions are a product requirement because they affect freight and margin.
Request MOQ by SKU and color, quantity breaks, sample type and cost, tooling, production lead-time definition, Incoterm, payment, warranty, spare parts and change-control terms.

If gray-water collection is not included, say so. Buyers should not discover after sampling that the product drains directly onto the campsite.
