Two portable camping kitchens can look nearly identical in a quotation and behave very differently after six months in the market.

One arrives with stable tables, correctly matched cooking components and a carton that survives distribution. The other develops loose hinges, scratched panels, missing hardware and a compliance file that turns out to cover a different model. By the time the difference becomes visible, the goods have already been paid for, shipped and sold.

Price, MOQ and lead time matter, but they are poor starting points for supplier comparison. A portable camping kitchen is a combination of outdoor furniture, storage equipment, moving hardware, food-contact components and, in many models, a gas or electrical appliance. The finished product is only as reliable as the weakest interface between those systems.

This checklist is written for outdoor brands, importers, distributors, retailers, overland specialists and private-label buyers sourcing for Europe and North America. Its purpose is simple: turn broad supplier claims into evidence that can be compared line by line.

The Short Answer

Compare suppliers in four separate stages:

  1. Qualify the company: establish who owns the factory, who controls each production process and who will be legally named as the manufacturer.

  2. Qualify the model: compare the same defined configuration, revision, materials, accessories and market-specific appliance package.

  3. Validate the sample: test a production-representative unit under realistic transport, setup, loading, cleaning and repeated-use conditions.

  4. Control mass production: freeze the approved specification, establish inspection criteria and require written approval before any material, component or process change.

Do not combine these into one vague judgment such as “Supplier A looks professional.” A capable factory can still quote the wrong appliance. A polished sample can still be made in a workshop that cannot reproduce it consistently. A valid test report can still be irrelevant to the model you plan to import.

1. Define the Product Before You Compare the Suppliers

If three factories receive three different descriptions, their quotations are not comparable.

Start with a short product brief. It does not need to contain a finished engineering drawing, but it should define the commercial and technical boundaries of the project:

  • Destination countries

  • Sales channel and expected retail position

  • Main use: family camping, overlanding, RV travel, glamping, tailgating or another application

  • Standing-height or low seated layout

  • Required cooking method: none, gas, induction or BBQ

  • Storage capacity and acceptable packed size

  • Maximum target net and gross weight

  • Required work surfaces, sink, water system, light pole and accessories

  • Expected annual volume and first-order quantity

  • Private-label requirements

  • Compliance documents expected for each market

  • Packaging route: retail store, e-commerce parcel, pallet distribution or mixed channel

Ask every supplier to quote against the same brief and to list every deviation. A lower price has little meaning if it excludes the stove, uses thinner panels, removes the transit wheels or assumes a plain export carton while another quotation includes retail packaging.

The bundle list should be exact. “Complete kitchen” is not exact. Record the quantity and model of every table, connector, basin, board, burner, hose, adapter, power cord, carrying bag and spare component.

2. Establish Who the Supplier Actually Is

“Manufacturer” can refer to the legal product manufacturer, the factory assembling the unit, the company that owns the tooling or simply the seller answering the inquiry.

A trading company is not automatically a poor supplier. It may provide useful project management, export experience and access to several specialist factories. The risk begins when its role is hidden. If you do not know who controls the design, tooling, gas appliance, final assembly and inspection, it will be difficult to resolve a technical problem later.

Request the following:

  • Full legal name in the original language and English

  • Registered address and actual production address

  • Name of the company that will issue the invoice

  • Name that will appear as manufacturer on the product and documents

  • List of important subcontracted processes

  • Ownership of drawings, tooling and patents used for the quoted model

  • Main contact for engineering and quality, not only sales

During a factory audit, follow the product rather than the tour route. Start with incoming material, then observe cutting or moulding, welding, finishing, subassembly, final assembly, testing, packing and non-conforming-product control. A live video call can help screen a supplier, but a camera moving past several machines does not prove that those machines make your model or that production is controlled.

3. Compare a Controlled Technical Specification

A useful specification removes adjectives and adds measurable conditions.

Instead of “strong aluminium table,” record the alloy or material designation, section size, wall thickness, surface treatment, usable dimensions and approved load condition. Instead of “large storage box,” record nominal capacity, internal usable dimensions, access opening and any space lost when components are stored.

At minimum, the specification should include:

  • Product model and revision

  • Folded and fully deployed dimensions

  • Net weight and permitted tolerance

  • Storage volume and internal dimensions

  • Main metal, polymer, composite and textile materials

  • Material thicknesses at load-bearing areas

  • Coating or surface-finish system

  • Table height, dimensions and rated load

  • Leg adjustment range and lock type

  • Wheel material, diameter and axle arrangement

  • Pull-handle construction and rated loaded use

  • Hinge, buckle and connector materials

  • Cooking-module opening or interface dimensions

  • Sink, cutting-board and water-contact materials

  • Included components and excluded components

  • Carton dimensions, gross weight and packing method

Version control is not paperwork for its own sake. It prevents a common dispute: the buyer approves one sample, while mass production uses a later drawing or a substituted component. Mark the approved drawing, bill of materials, colour sample, instruction manual and packaging artwork with revision numbers. Keep one signed golden sample or an agreed digital inspection record with detailed photographs and measurements.

4. Examine the Structure Under Real Loads

Portable kitchens are often photographed empty. Customers do not use them empty.

They place a pot on the stove, food on one table, water in the basin and cookware inside the storage body. They lean on an edge while cutting. They set the unit on gravel or a campsite pad with a slight slope. They pull it from a vehicle while it is loaded.

Your test plan should define realistic conditions for:

  • Vertical load on each work surface

  • Uneven or off-centre loading

  • Stability with doors, tables and modules open

  • Leg-lock and table-connector engagement

  • Deflection that affects cooking or preparation

  • Repeated folding and unfolding

  • Wheel and handle performance at the intended loaded weight

  • Movement over thresholds, compacted gravel and similar foreseeable surfaces

  • Tip, pinch, sharp-edge and finger-trap risks

Do not ask only, “What is the maximum load?” Ask how it was applied, for how long, at which location and what counted as failure. A supplier may quote the load at permanent deformation, while the buyer assumes it is a normal working load with a safety margin.

The desired height also needs to be intentional. A low modular kitchen designed for use beside camping chairs should not be rejected because it is below domestic counter height. A standing cook station should not be accepted if normal use forces a tall customer to bend over the worktop. Judge the structure against the product brief, not against a different category.

5. Review Gas Systems as a Complete Configuration

Gas cooking deserves its own approval process. The burner alone is not the complete system.

Record the exact burner, valve, ignition system, regulator, hose, connector, adapter and fuel arrangement. Confirm operating pressure, gas family, heat output, wind-related limitations, ventilation instructions, required clearances and the way hot components are isolated from tables, storage and users.

For the European Union, appliances and fittings within scope are governed by the Gas Appliances Regulation (EU) 2016/426. Requirements in the United States and Canada depend on the precise appliance, fuel and intended use, often with relevant ANSI/CSA standards and certification routes. The buyer should have the final configuration reviewed by a competent laboratory or compliance specialist for the destination market.

When checking a gas-appliance report or certificate, compare:

  • Manufacturer and applicant names

  • Model number and product photographs

  • Gas type and pressure

  • Valve, regulator, hose and connector models

  • Standards and editions used

  • Test laboratory and accreditation scope

  • Report date, status and annexes

  • Production-site information, where applicable

A report for a visually similar burner does not cover a changed regulator. A CE mark printed on a box does not prove conformity. A hose described as “for Europe” does not define which national cylinder connection or operating pressure the product uses.

Gas testing should be conducted by qualified personnel or an appropriate laboratory. Do not improvise leak, combustion or abnormal-operation testing in an office or ordinary warehouse.

6. Check Electrical and Induction Models by Destination Market

An induction kitchen is not localized by changing the plug at the end of production.

Confirm rated voltage, frequency, maximum power, current, plug, cord, earthing arrangement, protective devices, ventilation and water-exposure limitations. If marketing mentions portable power stations, define the output type and continuous power required; “power-station compatible” is too broad to be useful.

For EU sales, electrical equipment may fall within requirements including the Low Voltage Directive 2014/35/EU, the EMC Directive 2014/30/EU and, where applicable, the RoHS Directive. The exact legislation and standards depend on the final product.

In the United States, verify the exact certification listing and model rather than accepting “built to UL standards.” OSHA explains that a mark issued through its Nationally Recognized Testing Laboratory program signifies certification to one or more appropriate safety standards within the laboratory’s scope. Retailer requirements and the rules applicable to a consumer product may extend beyond workplace NRTL obligations, so the importer should review the complete market route.

Ask for the EU Declaration of Conformity or North American listing information that matches the exact appliance. Check whether the appliance was evaluated by itself or as installed in the portable kitchen. Changes to ventilation, mounting, nearby materials or water exposure may require additional review.

7. Trace Every Food-Contact and Water-Contact Material

“Food grade” without a material code, supplier and intended-use condition is a marketing phrase, not a compliance file.

Identify every surface expected to touch food or potable water: cutting board, basin, worktop coating, storage container, water tank, hose, tap, seals and utensils included in the package. Record the material grade, colour or additive package, material supplier and intended temperature, time and food type.

In the EU, Regulation (EC) No 1935/2004 provides the general framework for food-contact materials. Additional measures apply to particular materials; plastic food-contact articles may require documentation and migration evidence under applicable rules. The European Commission also notes that compliance documentation and traceability form part of the framework.

In the United States, the FDA treats food-preparation surfaces and cookware as food-contact applications and explains that the regulatory status depends on the substance and its intended conditions of use. Buyers can use the FDA’s guidance on determining the regulatory status of food-contact material components when reviewing supplier evidence.

Do not transfer a report between colours or formulations without confirmation. Pigments, fillers, recycled content and processing aids can change the compliance position even when the polymer name is the same.

8. Match Outdoor Durability to the Real Use Case

There is no single durability test that represents every camping market.

A kitchen sold for occasional summer campsite use faces a different exposure from a unit carried on corrugated roads, stored in a humid RV compartment or used by a coastal rental operator. Define the environment before asking for evidence.

Depending on the product, useful checks may cover:

  • Coating adhesion and thickness

  • Corrosion resistance at cut edges, welds and fasteners

  • Resistance to water, detergent, cooking oil and common food stains

  • UV exposure of plastics, fabrics and printed parts

  • Low- and high-temperature operation of hinges and latches

  • Thermal effects near burners and grills

  • Abrasion between nested parts during transport

  • Mould or odour risk when a basin is stored damp

Salt-spray hours can be useful for comparing a controlled finish, but they should not be used as a universal claim of outdoor service life. Ask what substrate, pre-treatment, coating system, test method and acceptance criteria were used. Inspect welds, threaded inserts and mixed-metal contact points; corrosion often begins at details that a general material certificate does not describe.

9. Test Setup, Cleaning and Field Repair

The best setup test is performed by someone who has not watched the supplier’s demonstration.

Give the sample, packed as it will be sold, to an unfamiliar user with the draft manual. Record setup time, mistakes, unclear parts and the force required to lock components. Watch whether the kitchen can be packed again without leaving one accessory outside the box.

Pay attention to small frustrations:

  • Similar-looking fasteners used in different positions

  • Legs that can appear locked when they are not

  • A table that can be installed backwards

  • A basin that traps water in its frame

  • Sharp internal edges reached during packing

  • Grease or food collecting in inaccessible gaps

  • Hot components that must be packed before they can be safely handled

  • Replacement of a wheel requiring complete product disassembly

Good serviceability does not mean the customer should repair a gas valve or electrical appliance. It means ordinary wear parts—wheels, handles, buckles, boards, basins, legs and connectors—can be identified and replaced without returning the complete kitchen.

10. Treat Packaging as Part of the Product

A flawless factory sample proves nothing about parcel delivery.

Portable kitchens contain heavy parts, painted surfaces and narrow brackets packed close together. Internal movement can cause damage even when the outer carton appears acceptable. Ask for a packaging drawing that shows component position, protective materials, hardware bags and the way loads are transferred through the pack.

Compare:

  • Product net weight and packed gross weight

  • Retail and shipping-carton dimensions

  • Carton board and internal protection specification

  • Pallet quantity, height and total weight

  • Container loading quantity and loading assumptions

  • Barcode, marks, country of origin and traceability label position

  • Handling orientation and stacking limit

  • Moisture protection for ocean freight

  • E-commerce parcel requirements, if relevant

  • Agreed transit-test method and acceptance criteria

Do not calculate freight from the product’s folded dimensions. Freight is charged on the packed product, and additional modules can change carton utilization significantly. A supplier with a slightly higher unit price may have the lower landed cost if the packaging is compact, protective and designed for the intended channel.

Fuel cylinders and cartridges should not be assumed to ship inside a standard product carton. Their transport and sale introduce separate requirements that must be reviewed for the destination and logistics route.

11. Inspect the Quality System Behind the Sample

“We inspect every unit” is not a quality plan.

Ask to see the inspection points, measuring method, sampling level, defect categories and records. A practical control plan for a modular camping kitchen may include:

  • Incoming verification of material, coating, appliances and bought-in hardware

  • First-article approval at the start of a production run

  • Jigs or gauges for critical frame and module interfaces

  • Welding and fastener checks during assembly

  • Functional checks for every lock, leg, wheel, handle and connector

  • Market-specific appliance identification

  • Appearance standards under defined lighting and viewing distance

  • Pack-content verification

  • Finished-carton weight or another method of detecting missing parts

  • Final random inspection against the approved specification

Define critical, major and minor defects before production. A gas leak, unstable cooking support or incorrect electrical rating is not equivalent to a small cosmetic mark. Agree which defects cause immediate lot rejection and which can be reworked and reinspected.

If you use an AQL-based final inspection, state the sampling plan and acceptance limits in the purchase specification. “Standard AQL” is not enough because buyers and inspection companies may select different levels and defect thresholds.

12. Verify Documents Instead of Counting Them

A folder containing 30 PDFs may provide less assurance than three documents that precisely match the product.

For every important test report, declaration or certificate, check:

  1. Is the issuing organization identifiable?

  2. Can the report or certificate be verified with the issuer?

  3. Does the model number exactly match the quotation and product label?

  4. Do the photographs show the same construction?

  5. Are the applicant, manufacturer and production site relationships clear?

  6. Are all pages, annexes and amendments present?

  7. Is the standard edition suitable for the intended market and current project?

  8. Do component changes invalidate the evidence?

For consumer products sold in the EU, the General Product Safety Regulation (EU) 2023/988 has applied since 13 December 2024. Alongside any product-specific rules, buyers should review the finished SKU’s risk assessment, traceability, manufacturer and responsible-economic-operator information, warnings, instructions and online product information. These details should be agreed before packaging artwork is released, not added during customs clearance.

Search public recall and market-surveillance databases for the supplier, manufacturer, model family and comparable product type. Useful sources include the US Consumer Product Safety Commission recall database, the EU Safety Gate alert system and Canada’s recalls and safety alerts database. An empty search result is not proof of quality, but a relevant history can identify failure modes that deserve extra attention.

13. Run a Written Sample-Approval Protocol

Do not approve a sample with a WhatsApp message saying “looks good.” Use a record that can be handed to the production and inspection teams.

Where a test requires specialist facilities—particularly gas safety, combustion, electrical safety or electromagnetic compatibility—use a competent laboratory. Buyer sample checks supplement formal testing; they do not replace it.

14. Freeze the Specification Before Mass Production

The approved sample is the beginning of production control, not the end of purchasing.

Attach the controlled specification, drawings, bill of materials, colour references, packaging files, instructions and inspection standard to the order. State that no material, supplier, dimension, appliance, software, finish, label or packing change may be made without written approval.

Require an engineering-change notice to explain:

  • The reason for the proposed change

  • Affected models and purchase orders

  • Old and new part numbers

  • Effect on fit, function, safety, compliance and packaging

  • New test evidence required

  • First production date and traceability method

The phrase “same quality or better” should not authorize substitution. A stronger material may behave differently near heat. A new polymer colour may need different food-contact evidence. A replacement induction board may alter electrical or EMC performance. Equivalence is a technical conclusion, not a purchasing shortcut.

15. Compare Spare Parts and After-Sales Capacity

Ask each supplier for a spare-parts proposal at the quotation stage, when commercial attention is still high.

The list should include part number, description, compatibility, unit price, minimum quantity, lead time and expected availability period. For a typical portable kitchen, likely service items include wheels, pull handles, table legs, latches, connection hardware, basins, cutting boards, hoses, adapters and storage accessories.

Agree how warranty claims will be documented and resolved. Photographs and batch codes may be enough for a broken wheel; a gas or electrical incident needs a more formal escalation path. Define who analyzes failures, how safety-related complaints are reported and how the supplier will support containment if a batch problem appears.

In Canada, for example, the Canada Consumer Product Safety Act applies across manufacturers, importers, distributors and retailers, with traceability and incident responsibilities described by Health Canada’s industry guidance. A buyer therefore needs records that go beyond a supplier’s informal warranty promise.

16. Separate OEM Decoration From ODM Engineering

Logo placement, colour matching and carton artwork are normally controlled OEM or private-label tasks. They still require approval, but they do not usually change the product architecture.

Changing the dimensions, folding structure, burner location, load path, water system or electrical integration is ODM development. It should include:

  • Written design input and intended use

  • Concept and feasibility review

  • Controlled drawings

  • Risk review

  • Prototype and engineering sample stages

  • Compliance-impact assessment

  • Tooling ownership and maintenance terms

  • Validation plan

  • Final pre-production sample

  • Agreed intellectual-property position

Be cautious when a supplier promises a structural redesign with no engineering charge, no new sample and no effect on lead time. Either the change is more cosmetic than it sounds, or the validation work has not been allowed for.

17. Calculate Landed Risk, Not Just Landed Cost

The lowest FOB price can become expensive after adding:

  • Certification or retesting

  • Custom tooling and sample rounds

  • Inspection and audit costs

  • Retail packaging

  • Freight created by inefficient cartons

  • Duties and brokerage

  • Spare-parts inventory

  • Damage allowance

  • Warranty handling and customer returns

  • Rework caused by unclear specifications

  • Slow inventory tied to the wrong regional appliance

Compare suppliers using the same Incoterm, currency, configuration and packaging basis. Separate recurring unit cost from one-time development and compliance costs. Ask how long the quotation is valid and which raw materials or exchange-rate changes can trigger adjustment.

Payment terms and production lead time should be tied to clear milestones: deposit, final artwork, approved pre-production sample, production completion, inspection and shipment. A short lead time is not an advantage if it begins before the technical specification is frozen.

A Weighted Supplier Scorecard

The weighting below is a starting point for a private-label portable camping kitchen project. Adjust it for your channel, but do not let a low price compensate for a failed safety gate.

Set mandatory pass/fail gates before scoring. For example, a supplier that cannot provide a market-appropriate gas configuration or refuses written change control should not win because its price score is excellent.

Score evidence, not presentation. “Experienced engineering team” earns little by itself. A controlled drawing, answered tolerance question and documented sample correction show what the team can actually do.

Ten Red Flags That Deserve a Pause

  1. The quotation, certificate, invoice and product label use unrelated company names with no explanation.

  2. One test report is presented as coverage for gas, induction and stove-free models.

  3. Materials are described only as “steel,” “aluminium,” “plastic” or “food grade.”

  4. The supplier will not state which processes are subcontracted.

  5. Packed gross weight and carton dimensions are unavailable until after the order.

  6. The sample contains hand-fitted or modified parts that are not shown on drawings.

  7. The factory can substitute “equivalent” components without buyer approval.

  8. Spare parts are promised but have no part numbers, prices or availability plan.

  9. A single gas or electrical configuration is described as suitable for all of Europe and North America.

  10. The supplier discourages third-party inspection or refuses to correct the pre-production sample record.

One red flag may have an innocent explanation. Several related red flags usually indicate that the supplier’s sales process is moving faster than its technical control.

Ask shortlisted suppliers to return the following for the exact quoted model:

  • Company legal name, registration and production address

  • Supplier role and subcontracted-process list

  • Product model and revision

  • Complete specification and dimensioned drawings

  • Bill of materials or controlled material schedule

  • Bundle and accessory list with quantities

  • Gas or electrical configuration for the destination country

  • Model-specific declarations, reports, certificates and listing details

  • Food-contact material declarations and supporting evidence

  • Load, stability, durability and cycle-test information

  • Quality-control plan and final inspection checklist

  • Packaging drawing, gross weight and pallet/container plan

  • Spare-parts catalogue and warranty procedure

  • OEM/ODM sample and approval stages

  • Engineering-change procedure

  • MOQ, unit price, tooling, sample cost, Incoterm and lead time

Require the supplier to mark “not available,” “not applicable” or “to be developed” rather than leaving blanks. An honest gap can be planned. An assumed document often becomes a problem just before shipment.
